Legal Assistant

We have partnered with a nationally recognized law firm seeking an experienced and highly organized Legal Assistant to support attorneys across litigation, transactional, and administrative functions in its New York office. This role offers a unique opportunity to work closely with attorneys, clients, and colleagues in a collaborative, fast-paced legal environment. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple priorities while maintaining the highest levels of professionalism and confidentiality.

Key Responsibilities:

Litigation and Transactional Support

  • Prepare, proofread, format, and cite-check legal documents, including pleadings, motions, discovery materials, correspondence, exhibits, and trial binders.
  • Manage electronic and physical filing systems and maintain accurate docketing of deadlines, hearings, and case milestones.
  • Coordinate trial, hearing, deposition, and client presentation materials.
  • Manage complex attorney calendars and scheduling across multiple time zones.
  • Prepare and submit electronic filings in federal and administrative forums, including CM/ECF and various regulatory agency filing portals.
  • Download, organize, and distribute court filings and related documents.
  • Conduct preliminary contract reviews and assist with document redlining.
  • Compile, review, and organize exhibits, schedules, and supporting transaction documents.
  • Prepare electronic and physical closing binders.
  • Coordinate distribution and archiving of executed transaction documents in accordance with firm policies and client requirements.

Practice Support/Office Administration

  • Conduct conflict checks and assist with new matter intake and file opening processes.
  • Draft engagement letters and coordinate matter setup.
  • Enter attorney time and assist with billing administration.
  • Review pre-bills for accuracy and compliance with client billing guidelines.
  • Track CLE compliance requirements for attorneys across multiple jurisdictions.
  • Monitor client budgets and spending thresholds.
  • Process expense reimbursements and reconcile corporate credit card expenses.
  • Provide document management, scanning, filing, and records support.
  • Serve as a Notary Public, if commissioned.
  • Serve as the primary point of contact for visitors, clients, vendors, and incoming calls.
  • Coordinate conference room scheduling and meeting logistics.
  • Assist with travel arrangements, reservations, and event planning.
  • Manage incoming and outgoing mail, courier services, and package distribution.
  • Maintain office and kitchen supplies inventory.
  • Liaise with building management and service providers regarding facility needs.
  • Coordinate maintenance and troubleshooting of office equipment.

The ideal candidate will have at least five years of legal assistant experience in a law firm environment, with strong proficiency in Microsoft Office, Adobe Acrobat, and legal technology platforms. They will possess excellent organizational, proofreading, and document production skills, along with experience supporting litigation matters and working with e-filing systems. Success in this role requires the ability to manage multiple priorities, communicate professionally, work independently, and maintain the highest standards of confidentiality and client service. Familiarity with legal citation verification is a plus.

The position offers a competitive salary range of $90,000 to $115,000, depending on experience and qualifications.
